Fixed Asset Administrator

Position: Fixed Asset Administrator 

Department: Sales Support

Purpose of the job 

Provide administrative assistance to the Fixed Asset Buyers in the process of ordering and delivery of cooling, signage and generators to all stores.

Key Responsibilities 

Administrative aid and Order placements for Signage 

  • Assist Fixed Asset Coordinator with placing order for Signage
  • Administration:
  • Check asset register for detail, place order according to approved CAPEX and budget
  • Ensure delivery at store
  • Update asset register with new information

Administrative aid and ordering placement for Cooling Systems 

o Assist Fixed Asset Coordinator with placing order for cooling systems with suppliers o Administration:

  • Check asset register for detail relating to equipment age and place order according to approved CAPEX and budget
  • Ensure delivery at store
  • Update asset register with new information

o Request quotations for cooling systems from suppliers and obtain authorisation from leader. o Will coordinate communications to  ensure right type of cooling system is used for specific store (Pepkor Properties; landlord)

o Ordering of units as per S.O.P

o Correct maintenance is ensured by providing maintenance procedures to Regional Managers o Verification of maintenance invoices against internal database

o Will retrieve applicable data from internal database for National technical manager to review SLA and supplier compliance

Administrative aid and order placement for Electrical equipment 

o Assist Fixed Asset Coordinator with placing order for electrical equipment with suppliers o Arrange for authorisation of final quote as per SOP

o Ordering of units as per S.O.P

o Administration:

  • Check asset register for detail relating to equipment age and place order according to approved CAPEX and budget
  • Ensure delivery at store
  • Update asset register with new information

o Will retrieve applicable data from internal database for National technical manager to review SLA and supplier compliance

Administrative aid and order placement for Back up power equipment 

o Request quotations for backup systems from suppliers

o Communicate choice of backup power to landlord and Pepkor Properties

o Ordering of units as per S.O.P

o Administration:

  • Check asset register for detail relating to equipment age and place order according to approved CAPEX and budget
  • Ensure delivery at store
  • Update asset register with new information
  • Update respective databases with backup information

Coordinates field requests 

o Point of contact for technical queries and redirect accordingly.

o Providing feedback on expected installation dates of equipment

o Providing feedback on equipment age, check databases

o Redirect installation requests to respective contractor

Ad Hoc Responsibilities 

  • Will assist leader with any ad hoc requests
  • Will assist team with any requests in order to achieve departmental objectives

Required Knowledge, Skills and Competencies 

  • 2 Years admin experience
  • Grade 12(Mathematics as a subject will be an advantage)
  • MS Office (Excel advanced)
  • Smartstream system knowledge advantageous
  • MS Office or Google Suite (Spreadsheets at an intermediate level)
  • Knowledge how Bill of Quantities will be an advantage
  • Knowledge of fixtures and fittings will be an advantage
  • Knowledge of store designing and space planning will be an advantage
